Overview of the Functions of the Post

ICCROM seeks a professional who will implement activities and procedures to ensure that financial operations are carried out smoothly, effectively, and efficiently with accurate and timely records available as required. The incumbent will bring experience in the accounting and finance area, administration, and implementation of new processes and procedures.

Key Accountabilities

The Accounting Assistant will work at ICCROM’s Accounting Office in the Administration Unit. The post is based at ICCROM Headquarters, Rome (Italy). Within delegated authority, the Accounting Assistant will be responsible for the following duties:

  1. Maintain and develop the management of the online invoicing cycle to Member States (determination of the scale of assessment, monitoring the monthly percentage of income, advice in case of doubtful contributions, etc.).
  2. Ensure that invoices (e.g., procurement and direct invoices) are checked, processed, and paid promptly.
  3. Check staff expense claims and corporate credit cards to ensure they are accurately entered into the system and paid accordingly.
  4. Assist in the timely and accurate elaboration of periodic financial reports.
  5. Together with Administration Unit colleagues, act as the contact point for correspondence with Member States related to the payment of their regular contributions and other administrative issues.
  6. Liaise with office colleagues to assist remote banking users in ensuring that bank accounts are checked on a daily basis.
  7. Assist office colleagues in the management of petty cash and ensure related registration in line with internal guidelines.
  8. Collaborate with the ICCROM Units to ensure that accounts payable from voluntary contribution activities are accurately calculated for invoicing by the Unit concerned.
  9. Collaborate as necessary with colleagues at the Regional Office on accounting-related issues in close coordination with the Administration Manager.

Required qualifications:

1.      Education

  • Advanced university degree in Economics, Finance, Accounting or a related discipline is required.
  • Accounting and finance certifications, such as CPA (Certified Public Accountant) or CFA (Certified Finance Analyst), are a plus.

2.     Work experience

  • Minimum of two (2) years of relevant professional experience supporting finance in reporting and analytical accounting.
  • Experience in assisting the management of innovation projects, supporting pilot programmes and introducing new systems to mature organisations.

3.     Skills and knowledge

  • Excellent knowledge of main financial and economic systems (accounting systems, proficiency use of Excel, reporting systems) and procedures.
  • Deep understanding of accounting standards, strong financial acumen, and attention to detail.
  • Good knowledge of SAP (Accounting module) or similar ERP systems.

4.     Competencies

5.     Languages

  • English and French are the working languages of ICCROM. This position requires fluency in English (both oral and written). The knowledge of Italian and any other language is an added advantage.

Remuneration
